Run Report – Requisition

Requisition reports allow you to view and print reports about your installation's purchase requisitions. These reports aid management in the purchasing and reorder process.

Your security rights determine whether you can run requisition reports and which properties you can run the reports on. If you do not have the required security rights, contact your system administrator.

To run Requisition reports:

  1. Access the Requisition module by clicking the Requisition link at the top of the page.

  2. Select the Run Report tab.

  3. In the Select a report field, select the report you want to run.

  4. Specify report criteria.

  5. Click OK to run the report.

The following Requisition reports are available:

ClosedPurchasing Requisitions

The Purchasing Requisitions report provides a summary of all purchase requisitions created for properties you have security rights to access. The report can be run including or excluding PR material and service line item detail information.

Report Criteria

To refine your results, specify any of the following criteria. If no criteria are specified, the report will be run for all values.

  • PR Header Status – Select a value to run the report for Open, Closed, or Cancelled purchase requisitions. Select Unknown to run the report for all PRs.
  • PR Type – Select a value to run the report for purchase requisitions of a particular type.
  • Material Item – Click the select link to run the report for purchase requisitions that include a particular material item.
  • Requestor Name – Enter a value to run the report for purchase requisitions that were requested by a person whose last name contains the specified characters. This criterion is not case-sensitive.
  • PR Date – Enter two date values to run the report for purchase requisitions that were created within the specified date range. The system defaults to a date range from one month ago to one month in the future. This date range represents the date of the PR, not the Date Required of the individual line items.
  • Report Type – Select a report type: Excel (Microsoft Excel .xls file), HTML (displayed in a browser window) or CSV (comma separated variables).
  • Include PR Line Item Details – Select this check box to include details about the material and service items in the report. If this check box is selected, the report output includes one row for each line item/PR combination.

Report Output

The generated report contains one row for each PR if the Include PR Line Item Details check box is not selected. If the Include PR Line Item Details check box is selected, the report contains one row for each PR/line item combination. The results include:

  • PR # – the unique identifier of the purchase requisition
  • Requestor Name – the name of the user who created the purchase requisition
  • PR Type – the type of purchase requisition
  • PR Status – the status of the purchase requisition (for example, Open, Closed, or Cancelled)
  • PR Date – the date on which the purchase requisition was created
  • PR Description – the description of the purchase requisition
  • Attention – the name of an additional user associated with the purchase requisition
  • Request ID – the request ID of a work order associated with the purchase requisition
  • Grand Total – the total cost of the material and service items included in the purchase requisition
  • Total Materials – the total cost of the material items included in the purchase requisition
  • Total Services – the total cost of the service items included in the purchase requisition

If the Include PR Line Item Details check box was selected, the following columns are also displayed:

  • Line Item # – the unique identifier of the line item within the purchase requisition
  • Item Type – the item type, either Material or Service
  • Line Item Status – the status of the line item (for example, Approval Required or Ready for PO)
  • PO # – the PO number of the purchase order this item was included in, or N/A if the item has not been placed on a PO
  • Item Description – a description of the item
  • Quantity Ordered – the number of the items included in the purchase requisition
  • Unit Cost – the per-item cost
  • PR Line Amount – the total line item cost which is calculated by multiplying the quantity by the unit cost
